Your home page
When you open Knowledge Hub, you'll see the Sites you belong to and recent activity across them. Use this to jump back into recent work or catch up on what's changed.
If a Site you expect to see isn't there, you may not have been added yet - contact the Site Admin or check for a pending invitation.
Create a Site
You don't need to be an admin to create a Site. If your organisation has Site creation enabled, you can create one for any project, team or area of work.
When you create a Site, you automatically become its Site Admin.
To create a Site:
1. Select New Site from the home page or navigation.
2. Give it a clear name that tells people what it's for.
3. Choose whether it sits on its own or beneath an existing parent Site.
4. Add an initial folder structure if useful - you can always change this later.
A child Site can inherit folders, tasks or members from its parent as a starting point.
Invite people
As a Site Admin, you can invite:
Colleagues from your organisation.
External guests by email address — including people from other organisations, partners or clients.
Choose the right role when you invite someone:
Role | Use when |
Site Admin | They'll help manage the Site itself |
Contributor | They need to add or edit content |
Viewer | They need to read content but not change it |
Some invitations stay pending until the recipient accepts. Guest invitations may be subject to domain restrictions set by your organisation.
You can change someone's role at any time from the Site's member settings.
Work with documents and folders
Upload documents and organise them into folders. A few tips:
Start with a small number of meaningful folders rather than building a complex structure upfront.
Separate working files, reference material and completed work.
Use comments on a document to keep discussion in context — not in a separate chat.
Contributors can add and update content. Viewers can find and use it without making changes.
Tasks
Tasks let you track follow-up work directly within a Site, alongside the documents they relate to. This makes it easier for someone joining a project later to understand both the information and the outstanding work.
Activity feed
The activity feed shows what's changed across your Sites. Use it to:
Return to a recently updated document
See what happened in a Site while you were away
Understand which Sites have been most active
You only see activity for Sites you have access to.
Troubleshooting
Problem | Likely cause |
A Site isn't visible | You're not a member yet, or an invitation is pending |
You can't upload or edit content | Your role is Viewer, or the Site has a restriction |
An invitation can't be sent | The recipient's domain may be restricted |
Activity looks incomplete | Activity is role-aware — you only see what's relevant to your access |
If the problem persists, contact the Site Admin. For organisation-wide issues, contact a Product Admin.
