Create a new whiteboard

Create a collaborative whiteboard and share it with your team for clear, well-structured, and engaging planning.

Whiteboard gives you an endless canvas right inside Access Evo, ready for brainstorms, process maps, and project plans alike. Sketch it, colour-code it, connect it, or just tell the AI Board Editor what you're after and watch it come together. Share it with your team in a click, and it saves itself so your best ideas never go missing.

Create a board

You can either start with a blank canvas and add the elements you need, or use the AI tool to generate a template for you that you can then update as you need.

📌 Note: Once you've named the new board, it saves automatically. You can go back to your boards list at any time and won't lose your progress.

Create a blank board

To create a new empty canvas board in Whiteboard, follow the steps below:

  1. In Access Evo, click Access Button

  2. Click Productivity Tools, then select Whiteboard.

  3. Click + New Board.

  4. In the top left, enter a new title for your board, then press Enter.

  5. Use the toolbar to add sticky notes, shapes, text, or frames.

  6. Drag and drop them into position, then draw connectors between elements.

Create a board using AI

To create a board using AI, follow the steps below:

  1. In Access Evo, click Access Button

  2. Click Productivity Tools, then select Whiteboard.

  3. Click Create with AI.

  4. Describe what you want the AI tool to create.

  5. Click Generate Board.


Toolbar features

Get creative on your new board with the following features that you can find in the left-hand toolbar:

Tell the AI editor what you want to do and watch it work its magic.

Formatting tools

You can customise each of the features using the formatting tools. Different tools are available depending on the feature you're using:

Change the size of the text.

Make your wording bold, italics, or underlined.

Select one of seven stick note colours.

Change the fill colour of the shape.

Opens options for depth; bring elements forwards or send back behind other elements.

Delete the element. You can also select the element and press Del on your keyboard.

Format connectors

You can add a connector and connect any edge of an element to another. Linking the elements helps you build a well structured and easy to follow plan. Simply click the Connector icon, then format is as you need:

Select which direction the arrow on the connector should point. You can have one, one on both ends, or none.

If you have one arrow, you can swap it's direction.

Change the connector colour.

Change the thickness of the connector.

Set a solid, dashed, or dotted line.

Select if you want a straight, curved, or cornered line.

Add a text label to the connector.


Best practices

To help you make boards that are well structured and easy to follow, here are some best practices that we recommend:

  • Use colour coding to categorise ideas by theme or priority.

  • Add frames to create visual sections and improve organisation.

  • Keep text concise. Aim for clarity over detail.

  • Use connectors to show process flows and dependencies.

  • Set collaborator roles to control editing permissions.

Quick tips

Here are some tip and tricks to quickly navigate and use Whiteboard:

  • Scroll in or out with your mouse scroller, or with the plus and minus icons at the bottom.

  • Double-click to edit.

  • Select and rag to move elements.

  • Resize with the corner handles.

  • Select the element for more options.

  • Press Ctrl and Z to undo.


Share your board

When you're ready, you can share your board with others in your organisation. To share your board, follow the steps below:

  1. Click the Share Board icon.

  2. Search for and select the people you want to add.

    🤓 Tip: If you have a large company and many people with the same first name, try searching for their email address.

  3. Select their permissions:

    • Editor: Can collaborate on your board.

    • Viewer: Can see but not change your board.

  4. The users you've selected instantly gain access to the board.

📌Note: To delete a user from your board, click the Share Board icon, then click the X by their name.
