You can be invited to a Knowledge Hub Site as a guest - even if you don't have an Access Evo account. This lets external partners, clients or contractors access specific Sites without needing full access to your organisation's platform.
Getting an invitation
A Site Admin sends you an invitation by email. The invitation is specific to one Site.
1. Open the invitation email and follow the link.
2. You'll be prompted to create a guest account or sign in if you already have one.
3. Once accepted, you'll have access to that Site with the role the Site Admin assigned.
Guest invitations may be subject to domain restrictions set by the organisation. If your invitation link doesn't work, contact the person who invited you.
What guests can do
Your access as a guest depends on the role you've been given:
Role | What you can do |
Contributor | View, upload and edit documents; add tasks and comments |
Viewer | View and download documents; read comments |
Both roles can see the documents in the Site. The role controls what you can change, not what you can see.
Guests can only see the Sites they've been explicitly invited to. You won't have access to other Sites in the organisation, even if they exist.
Navigating your Site
When you sign in, you'll land on the Site you were invited to. From there you can:
Browse folders and open documents.
Download files you have permission to access.
Add comments to documents (if you're a Contributor).
View and update tasks (if you're a Contributor).
If something doesn't look right
Issue | What to do |
Invitation link doesn't work | Contact the Site Admin who invited you |
You can't see a document you expect | Check that you're in the correct Site. Viewers can see its documents, so ask the Site Admin to check if one is still missing. |
You can't upload or edit | You may have been given Viewer access — the Site Admin can change this |
You've lost access | Your invitation may have expired or been removed — contact the Site Admin |
Leaving a Site
You can leave a Site yourself at any time. You don't need to be a Site Admin to do this. If you'd rather, you can ask the Site Admin to remove you.
