To trigger an automated email message, users with Administrator and Content Creator access can create email reminders for modules, using various criteria. You can then send them to registered users.
β
Note: You can't send email reminders to individual users.
To create an email reminder, watch the video or follow the steps below.
Note: If using Genesis 1.0. you'll need to switch to Admin View to follow the instructions.
β
Click Learning then click Find.
Search for the module or course you'd like to update then click Common Tasks.
Click the Email Reminders tab then click New Email.
Click Create a Unique Email.
A three-step wizard appears, where you can create the email, and set up rules and recurrences.
Create the email
Enter a subject for the email in the Subject field.
Enter the body of the email in the Message field.
If required, to add custom message fields, click Show Message Fields.
Note: To personalise the email for each recipient, you can use custom message fields. For example, to auto-populate the user's name, you can add the First Name field.
To send a test email to your own account, click Send Test Email.
Note: The test email can't pull live data, so the Due Date field displays today's date and the Set Password link shows as expired if you click it.
Once complete, click Next.
Set up recurrences
Select how often you want the email to be sent.
Select when you want the email reminder to start running.
Don't send: This saves the reminder but doesn't send it. You can return later and change this.
Start running now: This sends the email reminder immediately.
Start running on: This allows you to specify a date and time to start the email reminder.
To only send the email reminder to the user, select Registered User.
Alternatively, if you want their line manager to receive the reminder, select Line Manager. If you select this option, the manager receives an email for each user who meets the criteria you set.
The custom field data only relates to the registered user, not the manager.
Once complete, click Finish.
To allow users to launch the module directly from the email, set the Allow users to launch the module without logging in via an Email Reminder option to On.
Note: If a user has already been registered to the course or has been already reset to Not Attempted previously to the email reminder being setup, this email will not be sent again - unless the user has been cancelled beforehand and re-registered.
