After data has been connected or imported, a data view is created within Access Analytics. These data views feed into Insights which, in turn, feed into Dashboards.
β
Rather than configuring bespoke Dashboards for specific groups, you can build in security rules so that people only see what's relevant to them within a generic shared Dashboard. To limit a piece of data, you can apply row level security against a user or group with the following steps.
Create a security attribute:
Within Access Analytics, click Data Views.
Click the pencil icon on the right of the specific data view you wish to limit.
Click Security.
Use the Select Field dropdown to choose the column by which to filter.
If the data view relates to a User's Email address, you can chose to Restrict Data By this automatically, if your data refers to information that is not user specific (such as a location), you can continue with the following steps.
Select Security Attribute from the Restrict Data By dropdown.
Select a preconfigured Security Attribute from the dropdown or click Manage to create a new lookup.
Click Add.
Enter a meaningful name.
Select whether this lookup is based on text, number or date.
Click Save.
Click Close.
Click Create Rule.
Click Save and Close.
Apply a security attribute to a user or group:
Now that a security attribute has been configured to your data view, you can assign this to a specific user or group, specifying which data will be made visible:
Within Access Analytics, click Security.
Chose a specific group or user.
Click the Actions dropdown.
Select Security Attributes.
Toggle on the attribute(s) to apply to this group/user.
Leave the security attribute displaying Any to display everything in the Dashboard.
To restrict the visible data, select List and type in the value you wish to display data for and press enter.
Upon pressing enter, a new box will appear, enabling you to add another value, this way, you can list a range of different values that should all be made visible to a group or user (for example, you may which to select 3 locations for a group who manage a large area consisting of all three locations).
Click Save.
Standard Dashboards come with preconfigured security attributes which are uneditable. These are easily identified by the Access logo. By default, these security attributes will all be switched off so that and user who has been assigned a Dashboard in error will see no data.
To enable a Dashboard for a group or user, you must toggle a security attribute to on.
