Build an AI app from a template and publish it to Access Evo Navigator for your users

Written by Bianca Manase

Apps are AI tools built from Access Evo Researcher templates. Once published, they appear in the destinations you choose, such as Access Evo Navigator, so users can launch them without opening Researcher. This article explains what apps are, who can manage them, and how to edit and publish them.

What is an app?

An app is a packaged version of a template. It can appear in Access Evo Navigator, My Evo or the Evo mobile app, so users get a ready-made AI tool.

An org admin sets up the app once. This covers what the AI does, how the app looks and who can use it. After the admin publishes the app, it's available to users in the destinations you chose.

Where to find apps

To find apps, go to Org Admin in Access Evo Researcher, then select Apps.

Only users with the App Author or App Publisher role can see this section.

Roles for apps

Access to apps depends on your role. There are two roles:

Role

What they can do

App Author

Create, edit and delete apps

App Publisher

Publish and unpublish apps, and manage who can see an app

Both roles can see the Apps section. The buttons and actions you can use depend on your role. A user can hold both roles. A Researcher admin assigns roles in the Users section.

What you set up for an app

When you create an app, you choose:

  • Name and description: How the app appears in Navigator.

  • Template: The Researcher template that powers the AI.

  • Destinations: Where the app appears, such as Navigator, My Evo or the Evo mobile app. See Choose where your app appears.

  • Panel size: Small, medium or large. This applies to Quick Actions.

  • Feature toggles: The features users can use in the app, such as file uploads, connectors, conversations and artifacts.

  • Access: Who can see the app: the entire organisation, specific users or groups. You can change this later. See Manage who can see an app.

Choose where your app appears

You can show an app in one or more destinations. Choose them in the Destination tab when you set up the app. For example, you can show the same app in Navigator and My Evo.

Navigator

Access Evo Navigator has three options:

  • Quick Panel: Appears to the left of Navigator.

  • Quick Action: Appears to the right of Navigator. You can also choose the panel width: small, medium or large.

  • Quick Section: Appears inline, in the centre of the page.

My Evo

  • Space: Appears in My Evo as a space.

Evo mobile

  • Native Mobile App: Appears in the Evo mobile app.

App states

An app can be in one of two states:

  • Draft: The app has been created but isn't live. Only the Apps management section shows it.

  • Published: The app is live in the destinations you chose and available to the audience you chose.

By default, a published app is available to the entire organisation. You can change this at any time with Manage access.

Open an app with an action

An app can open with an action instead of opening into chat. You choose this during setup. To use this option, the underlying template must already have an action set up.

Manage who can see an app

You can distribute a published app to the entire organisation, to individual users or to groups. To change who can see an app, open the three-dot menu on the app card and select Manage access. Then choose one of these options:

  • Entire organisation: Everyone in your organisation can see the app. This is the default.

  • Users: Only the individual users you choose can see the app.

  • Groups: Only members of the groups you choose can see the app.

Advanced users can publish apps to base users.

📌 Note: Groups are managed by organisation admins from the profile menu in the platform header.

Audit an app

To see who created and edited an app, and what changed, open the three-dot menu on the app card and select Audit. The audit shows:

  • Who created and edited the app.

  • The changes made to the app over time.
