đ Note: Only users with the Admin role can open the screens in this article. Users with the User role can use Access Evo Researcher, but they can't open these screens. You assign the Admin role through Evo platform role assignment. Users can be given granular admin permissions by Researcher Admins.
# Go to the admin area
The admin area shows the dashboard and the management menu. the dashboard and the management menu.
Select Admin in the top bar to open the admin area..
You see a dashboard with key metrics, and a left-hand menu that lists the management areas.
Dashboard
The dashboard is the first screen you see as a Researcher admin. It shows aggregated metrics and the health of the services that Access Evo Researcher depends on.
Card | What it shows | Updated |
Users | The number of users in your organisation with an Access Evo Researcher role | Live |
Projects | The number of projects across your organisation | Live |
Templates | The number of templates published in your organisation | Live |
Skills | The number of skills published in your organisation | Live |
Azure Cloud status | Whether the Azure infrastructure can be reached | Checked regularly |
Claude (Anthropic) status | Whether the default LLM provider can be reached | Checked regularly |
The dashboard is read-only. If the dependency cards show degraded, the issue isn't your organisation.

Apps
Apps package a template into a ready-made AI tool that appears in Access Evo Navigator, My Evo or the Evo mobile app. Users can open an app without opening Access Evo Researcher. For more on apps, see Create and publish apps in Access Evo Researcher.
An app is always in one of two states.
State | What it means |
Draft | The app has been created but isn't live. Only the Apps management section shows it. |
Published | The app is live in the destinations you chose and available to the audience you chose |
By default, a published app is available to the entire organisation. You can change who can see it at any time.
Unpublishing removes the app from all destinations and returns it to draft. It doesn't delete the app or its settings. Deleting an app is permanent, and you must confirm before it's deleted.
â ď¸ Important: Editing a published app takes effect immediately. There's no review step. To review changes before users see them, unpublish the app, make your edits, and publish it again.
đ¤ Tip: Because an app only surfaces a template, changing the app's settings never changes the template itself.
Collaboration
The collaboration setting controls how members of your organisation share projects. Changes apply immediately, including to projects that are already shared.
Set the collaboration mode
Open Admin.
Select Settings.
Select Collaboration.
Select Configure.
Choose one of the three modes.
Mode | What members can do | When to use it |
Full (default) | Share projects and give collaborators read or write access. Existing shared projects and permissions are kept. | No restrictions needed |
Read Only | Share projects, but collaborators can only read them. Nobody else can change a project or use its AI features. Users who had write access lose it across all shared projects. | You want visibility without the risk of edits |
Off | Sharing is suspended. Existing collaborators can't open shared projects, and no new collaborators can be added. All users lose access to shared projects. | You need to lock down sharing entirely |
What changes when you switch modes
â ď¸ Important: Switching modes takes effect immediately and affects all projects, including projects that are already shared.
Switching modes doesn't undo sharing that has already happened. Anyone who has already seen content keeps what they know. Project owners keep full access to their own projects.
No collaborator records are deleted. If you return to Full, collaborators regain the access they had before.
đ Note: Users who have Access Evo Researcher open may need to refresh their page before they see the change.
What happens when a user or organisation is removed
When a user's role is set to No Access in Evo, or an organisation's subscription is deprovisioned, Access Evo Researcher hides the account rather than deleting it straight away.
When a user is removed
The user's projects are hidden from their collaborators' project lists. The projects aren't deleted.
A removed user who was only a collaborator, not an owner, shows as removed on the projects they didn't own.
When an organisation is removed
An organisation is removed only when its subscription is deprovisioned in Evo. Deactivating an organisation isn't enough to remove it. A suspended organisation keeps its access.
When a user or organisation is restored
If the user or organisation is provisioned again, the same account is restored, along with its projects and collaborator access.
â ď¸ Important: Restoring brings back only data created from the evening of 4 September 2026 (UK time) onward. Data created before that date can't be restored, even if the account was removed after that date.
đ Note: Removed accounts aren't erased automatically. They stay in Access Evo Researcher until a super admin permanently erases them.
