Provisioning

Provision templates and skills to other organisations in Access Evo Researcher

B
Written by Bianca Manase

Provisioning makes a template or skill built in one organisation available in another, so you don't need to rebuild it by hand. You create the content once in the source organisation, and provisioning copies it to the organisations that need it.

Choose how content moves

There are two ways content moves between organisations.

Method

Who runs it

How it works

Best for

Distribute

Automated, through Evo Foundry

Publishes the content and gives target organisations access to it

Rolling the same template or skill out to many organisations at once

Copy

A Researcher admin, by hand

Duplicates the content into one target organisation from within Access Evo Researcher

One-off moves where you're driving the process

Both methods follow the same process. The Copy method checks more before it runs. For details, see Known limitations.

Only organisation templates and organisation skills can be provisioned. Personal templates and personal skills stay with the user who created them.

What you can provision

You can provision two kinds of content:

  • Templates: a whole project blueprint, including instructions, uploads, connectors, actions and more.

  • Skills: reusable instruction blocks, with optional supporting files, that shape how the AI behaves across projects.

Apps

Apps aren't provisioned directly. An app is a publishing layer that a Researcher admin builds around a template in each organisation. It places the template in a Navigator surface, such as a Quick Panel, Quick Action or Quick Section, and publishes it to users.

When the template arrives in a target organisation, an App Author or App Publisher there can wrap it in an app and publish it. The app's own settings, including surface type, panel size, mobile deployment, feature toggles and audience, are chosen in each organisation and don't travel.

Provision a template

A template has several parts, and each part travels differently.

Part

Provisioned

What happens

Basics

Yes

The name, description, icon, colour, published flag, on-launch message and prompt travel.

Instructions

Yes

The system prompt and launch behaviour are copied as they are.

Uploads

Yes

Documents are copied across. Uploads with no stored file are skipped.

Tags

Yes

Quick Asks and ADA usage tags travel with the template.

Assistants

Yes

Assistants attached to the template travel with it. See Assistants and connectors.

Knowledge

Partly

Only a reference travels. The contents stay in Evo Memory. Provisioning is refused if knowledge isn't enabled in the target organisation.

Data

Partly

Only a reference travels. The contents stay in Data Spaces. Provisioning is refused if Data Spaces isn't available in the target environment or region.

Connectors

Partly

The connector's identity travels, and its address is resolved at runtime rather than copied. Connector skills come with it. See Known limitations.

Actions

Partly

Action details are copied. Provisioning is refused if the action's UI component isn't available in the target environment.

Collaborators

No

Collaborators are never copied. Add them again in the target organisation.

Skills attached to the template travel with it. MCP server configuration travels too, but secrets are removed, so you need to enter them again in the target organisation.

Provision a skill

You can provision skills on their own. The skill's name, description and instruction text travel, along with all of its files, including the main skill file and every supporting file.

With Distribute, target organisations get access to a single shared copy of the skill's files, so the files aren't duplicated in each organisation. With Copy, the skill is duplicated into the target organisation.

Requirements before you provision

Check these before you provision a template or skill. If a requirement is missing, provisioning is refused before it starts. The one exception is connector access on Distribute, which is covered under Known limitations.

If the content uses

It needs

Knowledge

Knowledge enabled in the target organisation

Data

Data Spaces available in the target environment or region

Connectors

The Connectors service available in the target environment, and the connector enabled for the target organisation

Actions

The action's UI component available in the target environment

Assistants

The connectors, Quick Actions and sub-assistants it uses already in the target organisation

MCP servers

Secrets entered again in the target organisation after provisioning

Collaborators

Manual re-add in the target organisation

Apps

The template to arrive first, then an App Author or App Publisher to publish it again in the target organisation

Assistants and connectors

Assistants and connectors reach organisations through Evo Foundry. A template that attaches an assistant or uses connectors only works once they're in place in the target organisation.

Assistants

An assistant package includes the assistant's name, description, instructions, model settings, products, Quick Actions, skills and sub-assistants. It doesn't include endpoints, headers or credentials. The connectors, Quick Actions and sub-assistants the assistant uses must already exist in the target organisation.

Connectors

A connector package includes the AI and coding instructions, skills, static tools, workflow nodes and operation details that you author in Access Evo Researcher. It doesn't include the base registration, endpoints, base URLs or credentials. These are set up separately for each environment.

Once an organisation receives any Foundry distribution, it sees only the connectors distributed to it. A connector that a template relies on must be distributed to the target organisation in its own right.

Known limitations

Some checks are stricter on the Copy method than on Distribute.

Connector access on Distribute

⚠️ Important: Distribute can't confirm that the target organisation can use a connector. A template can distribute successfully even when the target organisation can't use one of its connectors. Check connector access in the target organisation before you rely on the template. Copy checks connector access fully and refuses a connector that the target organisation can't use.

Actions

Action dependencies on other actions aren't resolved automatically yet. On Distribute, access to an action's UI component is checked only at environment level.

Knowledge and Data references

Only a reference travels for Knowledge and Data, and the contents stay in external services. A reference can therefore point to content that doesn't exist in the target environment. Provisioning is refused if the whole capability is unavailable, but individual references aren't checked one by one. Review these references in the target organisation after provisioning.
