Managing a Kanban board

Evo Kanban is a visual work management tool built into the Access Evo platform. It gives you and your team a real-time view of what is in progress, what is blocked, and what is done, all without leaving Evo.


Board types

When you create a board, you choose who can see it.

Managing your boards

From the Kanban landing page you can search, filter, and drag boards into the order that works best for you.

To rename or update a board:

  1. Open the board.

  2. Select the board settings icon.

  3. Update the name, description, icon, colour, or RAG status.

  4. Select Save.

To archive a board:

  1. Open the board settings.

  2. Select Archive board.

📌 Note: Archiving a board removes it from your active board list but does not delete it or its tasks.


Managing columns

Columns represent the stages of your workflow - for example, To do, In progress, and Done.

To add a column:

  1. Open your board.

  2. Select Add column at the end of the board.

  3. Enter a column name and select Save.

To rename or delete a column:

  1. Select the column menu (⋯) at the top of the column.

  2. Choose Rename or Delete.

⚠️ Important: Deleting a column also removes all tasks within it. Move any tasks you want to keep before deleting a column.

To reorder columns:

  1. Click and hold the column header.

  2. Drag it to the position you want.


Board views

⚠️ Important: Calendar view, Gantt view, and Dashboards are part of the Kanban Premium add-on and are not included in the Evo Standard offering.

To switch views:

  1. Open your board.

  2. Select the view you want from the view options at the top of the board.


AI Board Summary

⚠️ Important: AI Board Summary is part of the Kanban Premium add-on and is not included in the Evo Standard offering.

AI Board Summary generates an on-demand, plain-language overview of your board's current state. It covers:

  • A progress overview of tasks across the board.

  • Anomalies such as overdue items and blocked tasks.

  • Recommended actions based on the current board data.

To generate an AI Board Summary:

  1. Open your board and go to the Dashboard view.

  2. Select Generate summary.

  3. Review the summary and, if you want to share it with your team, select Share to Feed.

📌 Note: AI Board Summary is available to board owners and admins only. The summary is generated from live board data — task counts, assignees, overdue items, and blockers.
