If you have existing tasks in a spreadsheet or another tool, you can import them directly into a Kanban board in bulk. This saves you from creating tasks one by one and makes it straightforward to migrate work from another system.
Evo Kanban supports importing tasks using a CSV or JSON file.
Before you import
Before you prepare your file, check the following:
You have Owner or Admin access to the board you want to import into.
The board already has the columns you want tasks to land in. Tasks imported without a matching column will be placed in the default column.
Tags used in your file must already exist on the board. Create any tags you need in board settings before importing.
Assignees must be registered Evo users in your organisation. Tasks assigned to unrecognised users will be imported without an assignee.
🤓 Tip: Run a small test import with two or three rows before importing a large file. This helps you spot any formatting issues before they affect your whole board.
Importing tasks using a CSV file
A CSV (Comma-Separated Values) file is the most common format for importing tasks. You can create one from a spreadsheet application such as Microsoft Excel or Google Sheets.
Preparing your CSV file
Your CSV file should include a header row as the first row, with column names matching the task fields you want to populate. The supported fields are:
Field | Format | Notes |
Title | Text | Required. The name of the task. |
Description | Text | Optional. Supports plain text. |
Priority | Low, Medium, High, or Critical | Optional. Must match exactly. |
Status | Not started, In progress, or Completed | Optional. Must match exactly. |
Due date | YYYY-MM-DD | Optional. For example, 2026-12-31. |
Start date | YYYY-MM-DD | Optional. |
Assignee | Email address | Optional. Must be a registered Evo user. |
Tags | Text | Optional. Must match an existing tag on the board. |
Column | Text | Optional. Must match an existing column name on the board. |
📌 Note: Column names in your file are not case-sensitive, but values such as priority and status must match the accepted values exactly.
Importing your CSV file
Open the board you want to import tasks into.
Select Import from the board menu.
Choose CSV as the file format.
Upload your CSV file.
Review the field mapping to confirm each column in your file is matched to the correct task field.
Select Import to add the tasks to your board.
Imported tasks appear in the column specified in your file. If no column is specified, tasks are placed in the first column on the board.
Importing tasks using a JSON file
JSON (JavaScript Object Notation) is an alternative format that supports more structured data. This format is useful if you are migrating tasks from another system that can export in JSON.
Preparing your JSON file
Your JSON file should contain an array of task objects. Each object represents one task and can include the same fields as the CSV format. For example:
[ { "title": "Review contract", "description": "Check terms with legal team", "priority": "High", "status": "Not started", "dueDate": "2026-12-15", "assignee": "[email protected]", "tags": ["Legal", "Urgent"], "column": "To do" } ]📌 Note: Date values in JSON files must use the YYYY-MM-DD format. Tags must be provided as a list, even if there is only one tag.
Importing your JSON file
Open the board you want to import tasks into.
Select Import from the board menu.
Choose JSON as the file format.
Upload your JSON file.
Review the field mapping and select Import.
What happens after an import
Imported tasks are added to the board immediately.
Each task appears as a new card. Importing does not update or overwrite existing tasks.
If any rows or objects in your file contain errors, those tasks are skipped and a summary of skipped items is shown after the import completes.
⚠️ Important: Imports cannot be undone in bulk. If you need to remove imported tasks, you will need to delete them individually. Always test with a small file first.
